How Pelayo increased voluntary engagement by 45% with Totara 

Pelayo is a Spanish insurance mutual with more than 85 years of history, providing protection services to individuals and businesses. With employees distributed across Spain, the organisation places strong emphasis on digital capability and ongoing professional development as part of its business strategy. 

The challenge 

Pelayo’s previous LMS functioned largely as a static course repository and did not reflect current business requirements. Along with this, the Talent and Development team identified several operational issues. 

In a highly regulated insurance environment, mandatory certifications were managed manually, increasing the risk of error. The user interface lacked clarity, which led many employees to view training as an obligation rather than a development opportunity. Managers also had limited visibility of team progress, creating a disconnect between talent strategy and day-to-day operations. 

Pelayo required an automated solution capable of bringing together compliance management, professional development and performance tracking within a single platform environment. 

The solution 

Pelayo LMS solution

Pelayo worked with Totara partner Actua to introduce Campus Pelayo, a learning platform built on Totara. The design focused on improving operational control while strengthening employee engagement.

Operational efficiency and automated compliance 

The platform was integrated with Pelayo’s HR ERP and Microsoft 365 to centralise processes and improve oversight. 

Automated user management

Onboarding, offboarding and role-based training assignments are managed through ERP integration. This ensures employees are enrolled in the appropriate training from the outset of their role. 

Automated certification pathways

Certification paths were configured for regulatory requirements such as cybersecurity and Code of Ethics. The system tracks completion and triggers annual re-certifications automatically, reducing manual intervention and supporting audit requirements. 

Blended learning coordination

Integration with Microsoft Teams supports the scheduling and attendance tracking of virtual and face-to-face sessions. All activity is recorded within a single training history. 

Personalised learning and manager enablement 

To encourage voluntary participation, the focus shifted to user experience and practical access to development opportunities. 

Curated learning paths

Internal content was combined with the GoodHabitz catalogue within a single-entry point. Users can filter by duration or topic, including areas such as Wellbeing, allowing learning to fit around daily work patterns. 

Manager dashboard

A dedicated ‘Manager Menu’ provides team leaders with real-time data on progress and skills development. This enables managers to recommend relevant learning based on identified gaps. 

Digital recognition

Digital badges were introduced to recognise professional milestones and completion achievements, reinforcing ongoing participation. 

The results 

The launch of Campus Pelayo delivered measurable organisational outcomes. Voluntary course completion increased by 45%, reflecting stronger engagement beyond mandatory training requirements. 

Pelayo's LMSAutomation of the full HR data flow reduced administrative workload, enabling the Talent team to focus more on development activity. The migration of 12,000 historical training records ensured continuity and maintained compliance standards throughout the transition. 

Manager adoption has been consistent, with 100% of managers using the Manager Menu to monitor team development. This has embedded learning oversight into routine management practice and strengthened alignment between HR and leadership. 

Campus Pelayo has become the central platform supporting the organisation’s internal culture and employee engagement strategy. The fully branded interface and improved user experience contributed to higher internal Net Promoter Scores relating to employee development tools. Following implementation, Pelayo is extending the platform to include Learning Communities and to support its network of external mediators.
