The Challenge
Before implementing Totara Learn, ORTEC faced several challenges in its learning and development strategy. These issues affected both internal employees and external customers, creating inefficiencies and limiting the scalability of training programmes.
Lack of a unified learning platform for employees
Internally, ORTEC had no structured learning system for employees. Training programmes were fragmented, and compliance and certification processes lacked standardisation. The company needed a clear learning strategy to improve onboarding, strengthen expertise, and support continuous development.
Suboptimal and isolated customer training
In the previous LMS, each customer had a separate course setup, leading to content duplication and high maintenance demands. Updating learning materials across multiple instances was time-consuming and costly. ORTEC needed a centralised and flexible approach that would support both shared and customer-specific content without increasing administrative effort.

To resolve these challenges, ORTEC implemented Totara Learn, creating a centralised yet flexible platform for both employees and customers. This approach streamlined training management, improved accessibility, and enhanced scalability across the organisation.
Centralising all learning activities within one platform turned training into a collective effort. Manual work was reduced by around 40%, freeing time to focus on creating high-quality content, developing e-learning modules, and refining learning paths. The time saved on administration directly supported improved learning design and delivery.
The recurring curriculum setup also became more efficient, with annual planning simplified through automated course rollovers, streamlined enrolment, and fewer manual adjustments.
Centralised learning for employees
With Totara, all employee learning content is now hosted in one structured platform, improving consistency and efficiency. A dedicated employee tenant supports certification programmes, online exams, and structured learning paths, ensuring professional development, compliance, and reliable reporting. The platform also supports preboarding and onboarding, helping new employees settle in and become productive quickly.
Scalable and customisable customer training
Customer training has also become more cohesive, removing the need to maintain duplicate course instances. Totara enables a centralised yet flexible setup where shared and customer-specific content can coexist. This reduces maintenance while ensuring a consistent learning experience across clients.
Some customers prefer to combine ORTEC’s standard e-learning materials with their own internal procedures. To accommodate this, Totara’s permission settings have been configured to grant client administrators limited editing rights. This allows them to adapt content to their specific needs while maintaining the integrity of ORTEC’s original materials.
Enhanced learning experience and business impact
The new platform has had a measurable impact across multiple areas. ORTEC now conducts over 75 classroom training sessions per year for more than 1,000 employees, supported by a growing library of e-learning courses, certification programmes, and digital badges.
Training delivery is now more comprehensive, with a wide range of online sessions and self-paced e-learning options. Job-based learning, learning paths, and classroom courses provide managers with insight into employee progress, enabling focused one-to-one discussions and better project planning.
Software implementation has also improved. Customers can now complete e-learning modules before project delivery, familiarising themselves with ORTEC’s software environment and terminology. This allows faster and more effective collaboration with consultants to configure solutions for their business processes.
ORTEC’s e-learning solutions are gaining global traction, attracting more customers and speeding up software implementation. Clients increasingly use these materials both for training and as an ongoing reference, supporting long-term software adoption.
Without Totara, managing ORTEC’s extensive learning ecosystem—covering both employee development and customer education—would not be feasible. The Results
Time saved on training delivery and administration
Managing sessions across time zones, handling waiting lists, tracking interest, and following up with participants has become much faster. Previously, setting up training sessions took around two to three months. With Totara Learn, this process now takes only three to four weeks.
Speed of project rollout and implementation
Training programmes can now be rolled out globally much faster. The structured and centralised setup simplifies management of both internal and customer-focused learning.
Improved learner engagement and completion rates
A more cohesive learning experience has led to higher engagement and completion rates, which increased by 56% between 2022 and 2024.
Enhanced tracking and reporting accuracy
In 2024, management reports were integrated into Totara Dashboards, enabling managers to track team performance easily. Planned enhancements for 2025 will provide insights into external training activity and include integrations with platforms such as Udemy.
